Job Description
Maintenance Planner
JOB SUMMARY  
The purpose of this position is to provide building maintenance planning and office administration support to company managed buildings.

ESSENTIAL DUTIES AND RESPONSIBILITIES  
Analyzes work orders by size, urgency, skill set, location, complexity, and available manpower; and assist operations teams by issuing work orders in a sequential flow to individual technicians, skilled trades or work teams. Coordinates the engagement and direction of appropriate subcontractors.

Work closely with Union skilled trades to stage materials, permits, subcontractors, tools, and another resources necessary to accomplish the work in the most productive manner possible.

Develop, maintain and distribute work flow processes to the entire account team documenting how work is planned, scheduled and executed.

Works with management team to optimize the mixes of: planned and scheduled work, scheduled (but not planned) work, and unscheduled work.

Principal contact and liaison person between maintenance, operations, and customers such as property managers. Establish good communication with the maintenance team and its building customers.

Responsible for long and short-term planning involving the regular analysis of backlog relative to available resources to establish and sustain a proactive maintenance environment.

Work with management team to increase equipment uptime by coordinating downtime so equipment can be inspected appropriately when due.

Provides regular statistical reporting to the management team and client showing quantities evidence of the productive use of the work force.

Provide expert maintenance advice to the operations team.

Uses guidelines set by management, develop, implement, and manage preventive maintenance and life cycle optimization strategies. Performs annual review of preventive and predictive maintenance programs to insure current work order system library contains correct frequencies and balanced 12 month schedules for all technicians and vendors. Determines appropriate predictive maintenance tasks. Trains the work force in the use of predictive maintenance techniques. Analyzes predictive maintenance data for trends. Initiates corrective actions as appropriate.

Experienced with either Maximo or Service Insight. Able to develop new job plans, and preventative maintenance for new equipment and decommission pm for equipment that has been decommissioned.

Determines appropriate predictive maintenance tasks. Trains the work force in the use of predictive maintenance techniques. Analyzes predictive maintenance data for trends. Initiates corrective actions as appropriate.

Other duties as assigned.

SUPERVISORY RESPONSIBILITIES  
No direct reports however formal supervisory responsibilities in this position. May provide informal assistance such as technical guidance and/or training to coworkers. May coordinate work and assign tasks to skilled trades and vendors as needed. Union supervision experience is desired.

EDUCATION and EXPERIENCE  
High school diploma or general education degree (GED) Required. Minimum of four years of related experience and/or training.

CERTIFICATES and/or LICENSES  
None. Valid driver's license, if driving required in conjunction with job duties. Facility Management and CFC certification is desired.

COMMUNICATION SKILLS  
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.

FINANCIAL KNOWLEDGE  
Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

REASONING ABILITY  
Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.

OTHER SKILLS and ABILITIES  
Intermediate skills with Microsoft Office Suite, Outlook, and intranet/internet. Ability to use work order system.

SCOPE OF RESPONSIBILITY  
Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.
